Position: Festival Operations Coordinator

DATES: May 9 – July 20, 2016


Reporting to the Managing Director and working in tandem with the Development Coordinator, Special Events Staff, Festival Assistant and Site Coordinator, the Operations Coordinator is responsible for facilitating smooth commercial operations of the Front of House aspect of the Festival. This includes:

  • Recruitment and scheduling of volunteers (using an online system)
  • Help organize volunteer orientation, first aid and pro serve requirements
  • Organize with help of Festival Assistant Volunteer party
  • Oversight of the concession, alcohol and merchandise tents including sourcing, ordering, and scheduling deliveries
  • Admin Assistance – prior to the Festival start date-  includes mail out to donors, sponsor fulfillment and others duties as required
  • Ensure reconciliations are completed at end of every shift
  • Assist with the planning and implementation of audience development initiatives on site.
  • Coordinate return of any rentals and sponsor banners

Hours of Work and Remuneration:

The Operations Coordinator commences approximately full-time work on May 9th in the office at the Stanley Milner Library Hours are 9am to 5pm Monday to Friday. For the duration of the festival (June 21 to July 17), hours are approximately 5:00 pm to 11:30 pm Tuesday to Friday, and noon to 11:30 pm (with a break between shows) on Saturdays & Sundays. Scheduling outside of performances is based on needs as required.

The weekly rate of pay is $500.00 for a period of ten weeks, with personal vehicle expenses compensated at 0.45 cents/km.


Must be a returning student in the Fall of 2016

Strong time management and organization skills

Personable and confident communicator

Basic level of understanding of the Festival/Live Theatre experience

Flexible team player ready to contribute to other jobs as required

Cash handling

Volunteer management experience would be an asset

Comfortable dealing with a large number of people

A vehicle would be an asset but not a requirement (Hawrelak Park is not easily accessible by Transit especially later in the evening)
